AESS – Agenzia per l’Energia e lo Sviluppo Sostenibile è alla ricerca di un/una Project Manager Assistant da inserire nel proprio team per lavorare al progetto europeo LIFE-ENCOM HUB, un’iniziativa finanziata dall’Unione Europea a supporto dello sviluppo di Comunità Energetiche (CE) realizzate e gestite da cittadini, piccole-medie imprese e
Pubbliche Amministrazioni in Italia, Francia, Spagna e Bulgaria. ENCOM HUB propone di progettare, convalidare e ampliare i servizi di supporto alle CER attraverso 5 sportelli regionali, accompagnando le parti interessate durante il processo di sviluppo delle CER.
La figura sarà a supporto del coordinatore del progetto, collaborando nell’organizzazione, gestione, monitoraggio e reportistica delle attività del progetto internamente, tra i partners e con la Commissione Europea. Sono benvenuti candidati con background legale, in particolare per il supporto nello svolgimento delle attività del WP 4 (Identifying and addressing regulatory barriers to the creation of energy communities through specific recommendations for policy makers) e altri temi legati alle Comunità Energetiche e al progetto.
Responsabilità principali:
- Supporto al coordinatore nella pianificazione e gestione delle attività progettuali di ENCOM HUB.
- Monitoraggio dell’avanzamento delle azioni del progetto e preparazione di reportistica periodica.
- Coordinamento con partner europei, team di lavoro interni, fornitori esterni e la Commissione Europea (CIENA/LIFE Program).
- Gestione della documentazione relativa al progetto e aggiornamento dei file di lavoro.
- Organizzazione di incontri di progetto e eventi pubblici, e preparazione di presentazioni e materiali divulgativi.
- Collaborazione alla risoluzione di problematiche operative e alla gestione delle scadenze di progetto.
- Supporto nell’analisi e gestione degli aspetti legali e normativi del progetto, inclusa la redazione e revisione di contratti interni e la verifica della conformità alle normative del Programma LIFE.
Requisiti:
- Laurea in economia, scienze politiche, scienze ambientali, giurisprudenza, cooperazione allo sviluppo o internazionali, o altri settori affini.
- Esperienza pregressa in un ruolo simile, preferibilmente in progetti europei o internazionali.
- Conoscenza della lingua inglese.
- Eccellenti capacità organizzative e di gestione del tempo.
- Capacità di lavorare sotto pressione e rispettare le scadenze.
- Ottima conoscenza del pacchetto Office (in particolare Excel, Word e PowerPoint).
- Buone capacità di comunicazione scritta e verbale.
Saranno considerati un plus:
- Esperienza lavorativa in ambito energetico, nel settore pubblico o altri settori affini;
- La conoscenza di altre lingue straniere, oltre all’inglese.
- Familiarità con il tema delle Comunità Energetiche e/o la gestione di progetti del Programma LIFE o Horizon Europe.

We are currently seeking to recruit a full-time position based in Brussels for our Innovation and Deployment Department PROJECT SUPPORT MANAGER.
The Project Support Manager is a member of the Project Team and is responsible for designated administrative, dissemination and/or technical tasks in project management and new developments, under the supervision of the (Senior) Project Manager.
He/she also contributes to the ERTICO strategy on Bringing Intelligence into Mobility and the overall promotion of ITS in Europe through participation in ERTICO activities and new developments.
Your responsabilities for ERTICO:
- Participates in administrative and dissemination activities during project proposal development and submission process and contributes to some proposal writing by consolidating inputs provided by the Consortium;
- Support the designated administrative, dissemination and/or technical tasks in ERTICO’s project management;
- Support the drafting process of project proposals under the guidance of the (Senior) Project Manager;
- Assists the Project Manager for liaison with EC and the Project Consortium concerning administrative and dissemination management issues;
- Monitors day to day administrative Project Management tasks in collaboration with other departments;
- In cooperation with (Senior) Project Manager, Project Communication colleagues and Consortium Members contributes to the definition of project dissemination strategy, develops and updates the Project communication and dissemination;
- Ensures that all necessary actions have been taken for meetings organised at ERTICO or elsewhere.
Qualifications we require:
- Bachelor’s/Master’s degree or equivalent;
- Minimum two (2) years’ experience in EC project administration or equivalent;
- Technical/Engineering background is an asset;
- Excellent English written and oral skills – knowledge of one or more other European language is an asset;
- Excellent knowledge of MS Office tools (PowerPoint – Word – Outlook – Excel and Internet);
- Ability to work on own initiative and within a team;
- Professionalism, enthusiasm, dynamism and creativity.

Job description
The grant manager will be an integral member of the Grants Management Team and will be reporting to the Head of Grants and Funding. Together with the rest of the team you are responsible to implement each stage of the grant cycle. This includes: the preparation of the business plan; the performance-based monitoring of the implementation of the projects by internal and external stakeholders; the amendment of the business plan and the reporting.
The grant cycle-manager will implement key processes in timely manner such as:
- Manage the implementation of the different Grant Agreements (mostly EIT funded but also other EU funded grants where EIT Food participates);
- Ensuring that the colleagues and participants have the necessary processes, information and tools for a smooth implementation of the grant;
- Improve processes, raising red flags where needed and proposing solutions to manage risks;
- Ensure the Business Plan is compliant with the Horizon Europe regulations;
- Keep abreast of the different regulations for the different grants and ensure that the processes are adapted where/when Ensure the organisation and participants are aware of the key changes and the processes adapted to the current regulations;
- Coordinating the drafting of key documents such as business plans and technical reports;
- Supporting the organisation to roll out the different processes around grant cycle milestones;
- Managing the iterative feedback process with participants at key reporting milestones;
- Contribute to the optimizaztion of the IT tools ensuring that they are fit to support the processes of the grant implementation and monitoring.
Experience & Skills
- Bachelor or Master degree in a relevant field or equivalent by experience;
- Between 3-5 years of relevant working experience;
- Knowledge of the EU grant cycle, the EU’s Horizon Europe Programme;
- Experience in process implementation, with a high degree of attention to detail and respect for timelines and deadlines in a fast-paced environment;
- Fluency in English;
- Very good knowledge of Microsoft Office tools (including Word and Excel), good IT skills and willingness to adapt to new systems;
- Flexible to work both independently and in small (multi-national) teams;
- Very good communication skills, service oriented and confident to communicate with international stakeholders;
- Logical thinker, motivated to drive continuous improvement based on sound analysis;
- Knowledge of the EIT environment will be considered a strong asset;
- Can-do attitude, driven to learn and realise impact, a self-starter.

Responsabilities
- Develop and implement detailed project content;
- Draft thematic policy documents informing about project progress and outcomes;
- Prepare and adapt written documentation for different stakeholders at local, national, and European levels;
- Manage resources in an effective and efficient manner and predict resources needed to reach the project’s objectives;
- Prepare and track project budget and work planning based on scope of work and resource requirements;
- Be responsible for contracts for project related activities;
- Monitor progress and adjust as needed;
- Measure project performance to identify areas for improvement;
- Plan and manage content for project’s deliverables, including reports planning and implementation, meetings, national and European seminars, and conferences;
- Prepare presentations and represent ESN as a speaker at national and European meetings to communicate about projects progress and outcomes;
- Identify and propose new membership opportunities; develop good working relationships with ESN Members and external stakeholders (EU institutions, NGOs, private organisations, national governments, etc.).

Qualifications
- University degree in public health, social policy, or public administration;
- Knowledge of social care and social services for children or adult social care;
- Knowledge of or sensitivity towards social care, social services, and social work;
- 3-5 years of demonstrable project implementation and related experience;
- Proven ability to complete projects according to outlined scope, budget, and timeline;
- Knowledge of project management methodologies and best practice;
- Knowledge of policy scaling-up, event management;
- Excellent verbal and written communication in English, other European languages are welcome;
- Experience in drafting policy briefings and reports;
- Excellent analytical skills;
- Strong interpersonal skills and extremely resourceful.
